Description

SQS is now looking for an Admin Support to join the Transport Team in our Scratchwood Depot.

Overall purpose of the Admin Support job:

To work with our Plant, Vehicle and Transport team to manage the administration of our Company's vehicles and Plant.

Key Responsibilities of the Admin Support role: 

Accurate inputting, record keeping and maintenance of information held on  Company databases.

This includes information on SmartCheck, Syrinx, TruckFile, WebFleet, VideoMatics, Davis, Congestion and Dart Charge, any in-house data bases.(training will be given on all systems)

  • Manage  the administration associated with on and off hiring  of plant and vehicles both owned and third party hired vehicles.
  • Work with the company software to maintain drivers’ records, this will include uploading driving licence to the  database, training matrixes and  inputting relevant info to the accident database.
  • When vehichles are allocated to different departments/contracts/drivers you will update necessary records s
  • Raise Purchase Orders (PO’s)  for vehicles,  plant hire, maintenance and parts required
  •  Reconcile received  invoices against POs  pre submitting to Accounts Payable for payments
  • Manage internal cross charge processes where necessary
  • Input PCN/NIP  information into the data base and manage in line with company procedure
  • Maintain accurate records of  company fuel cards
  • Act as a point of contact with internal and external contacts  on agreed transport and plant matters
  • Be prepared to support the business on other relevant activities on a need’s basis
